PII

Personally identifiable information (PII) is any data that could potentially identify a specific individual or distinguish one person from another.

PII can be sensitive or non-sensitive. Non-sensitive PII is information that can be transmitted in an unencrypted form without resulting in harm to the individual. Sensitive PII is information which, when disclosed, could result in harm to the individual whose privacy has been breached. Sensitive PII should therefore be encrypted in transit and when data is at rest. Such information includes biometric information, medical information, personally identifiable financial information (PIFI) and unique identifiers such as passport or Social Security numbers.

ROT which stands for redundant, obsolete or trivial, is a digital document that an organisation continues to retain even though the information has no business or legal value.

ROT can be found in a range of places including individual desktops, on networks servers, on SharePoint servers, on tablets, mobile devices, mainframe servers or in the cloud. There are various ways that organisations can accumulate ROT such as employees saving multiple copies of the same information or storing outdated data and extraneous information that does not help the organisation meet its goals. ROT is detrimental in numerous ways. It can constantly analyse the data stored across the network automatically identifying the PII information and then taking the steps to protect it. Relevant data is recognised and clustered accordingly using FileFacets’ Machine Learning Classification. The appropriate PII can be either be moved to a new secure destination, properly disposed of, or otherwise handled appropriately. Only the metadata ever enters the cloud, leaving your files to move directly and securely from the source to their target.
